Real Estate Follow-Up Templates That Get Replies
Five messages that cover most of the follow-up an agent ever needs. Copy them, then make them sound like you.
Most agents do not have a follow-up problem, they have a blank-page problem. These cover the situations that come up week after week. Shorten them, put them in your own voice, and send them fast — speed beats polish every time.
1. First response to an online lead
Send within minutes, not hours. Confirm what they asked about, answer one thing concretely, and ask exactly one question. "You asked about 12 Maple — it's still available and the maintenance fee covers heat and water. Are you looking mainly in that building or across the neighbourhood?" A question with two options gets replies; "let me know how I can help" does not.
2. After a showing
Same day. Reference something specific you both noticed, give one honest opinion, and propose the next step. Agents who send a generic thank-you sound like everyone else; agents who say "the second bedroom really is small — worth seeing 40 Oak before you decide" sound like an advisor.
3. The lead who went quiet
Do not send "just checking in". Send something that has value on its own: a new listing that matches, a sold comparable on their street, or a change in the market that affects them. Give them a reason to reply rather than an obligation to.
4. The price-drop nudge
Automatic if your system supports it. "The house you saved on Birch dropped $20,000 this morning." This is the highest-reply-rate message most agents ever send, because it is genuinely useful and genuinely time-sensitive.
5. The past-client check-in
Twice a year, no sales pitch. Their home's current estimated value, plus one line about the local market. It reminds them what you do without asking for anything, which is exactly why it produces referrals.
What makes any of these work
Send from your own address, not a no-reply. Keep it under six sentences. Follow the rules on consent and unsubscribes — in Canada that means CASL. And log every send, or you will repeat yourself to the same person.
