Who we are

AgentsWise provides website, listing-search, and client-follow-up software for Canadian real estate professionals. We operate in Canada. You can reach us any time at [email protected].

Two different roles

It matters which hat we are wearing:

For our own customers (agents, teams, brokerages): we decide how your account information is handled, so we are the organization responsible for it.
For visitors to a customer's website: when someone submits a form on an agent's AgentsWise-powered site, that inquiry belongs to the agent. We process it on their behalf and under their instructions. If you want your information corrected or removed from an agent's site, contact that agent first — we will help them action it.

What we collect

Account information — name, email address, phone number, brokerage, and the content you publish (bio, photos, listings, posts).
Inquiries you send us — anything you type into our contact form, including your name, email, and message.
Leads captured on customer sites — the contact details and enquiry content a visitor chooses to submit, plus which pages and listings that visitor viewed, which is used to score and prioritise follow-up.
Billing information — plan, billing status, and invoices. Card details are entered directly with our payment processor; we do not store full card numbers.
Technical and usage data — IP address, browser and device type, pages viewed, and error logs, used to keep the service secure and working.

Why we use it

To provide and operate the service; to authenticate you; to send transactional messages (for example lead notifications and account emails); to take payment; to provide support; to detect abuse and secure the platform; and to meet legal obligations. We do not sell personal information.

Campaign attribution

When you follow a campaign link and register, we may store its source, medium and campaign labels with the completed signup. We use these labels to compare registrations, published websites and confirmed paid checkouts. This link attribution does not add a tracking cookie or send your account details to an advertising network.

Marketing messages

We send commercial email only where Canadian anti-spam law allows it, and every such message includes an unsubscribe link. Customers who use our email and SMS follow-up tools are responsible for having the right consent from the people they contact.

Service providers

We use a small number of vendors to run the product, each with access only to what their function requires:

a payment processor, for subscriptions and invoices;
email and SMS delivery providers, to send notifications and customer follow-up;
an AI provider, to power optional content, reply, and qualification assistance;
cloud hosting and database infrastructure;
real estate board and listing data feeds (for example CREA's DDF or a member board), where a customer has an approved feed.

Some providers may process or store data outside Canada, which means it can be subject to the laws of that country.

Cookies

We use cookies that are necessary to sign you in, keep your session secure, and remember your language choice. We also record aggregate usage so we can see which features are actually used. You can block cookies in your browser, but parts of the dashboard will stop working.

How long we keep it

Account and content data is kept while your account is active. If you close your account we delete or anonymise personal data within a reasonable period, except where we must keep records — for example billing history for tax purposes. Leads captured on a customer's site are kept until that customer deletes them or closes their account.

Security

We use encryption in transit, access controls, and separation between customer accounts. No system is perfectly secure, but if a breach affects your personal information we will notify you and the appropriate regulator as required.

Your rights

Under Canadian privacy law you can ask to see the personal information we hold about you, ask us to correct it, withdraw consent, or ask us to delete it where we are not required to keep it. Email [email protected] and we will respond within the timeframes the law sets. If you are not satisfied with our answer you can contact the Office of the Privacy Commissioner of Canada.

Children

The service is intended for real estate professionals and is not directed at children.

Changes

If we change this policy we will update the date at the top, and we will tell account holders directly when a change is significant.

Language

This policy is available in English and French. The English version governs; the French version is provided for convenience. If the two versions differ, the English version applies.
